One of the best changes we've made as a tour company

Finally a system that works for us!
As an architecture studio, our countless spreadsheets covered scheduling, time tracking for the installation crew, and logistics, project management, finance, inventory, and more, but they all lived separately so nobody had a full picture of where a project actually stood and were very hard to work with on mobile, when we were working on-site. Nicole migrated everything into one Notion system where internal tasks generate automatically as a project moves forward, our installers log their hours directly into it on mobile without complaint, and production progress is visible to the whole team. The client portal has turned out to be the biggest surprise, clients can check exactly where their build stands at any point now instead of calling or emailing for updates. Took some time to migrate everything over, but Nicole and Wanesa handled it perfectly. Our studio runs noticeably smoother and finally stopped missing deadlines.S

Tried doing it ourselves first, glad we didn't stop there
When we first looked into hiring a Notion consultant, our reaction was: "Can't we just build it all with AI?" So we tried. We tried Claude. We tried Notion AI. We got a handful of databases that looked fine on the surface but fell apart the moment we started using them day to day. Nothing connected the way it needed to, our process wasn't reflected anywhere in it, and we were still doing half our work manually in Excel because our Notion system was too frustrating to use, and we hated it. We felt like we didn't see that potential in Notion everyone else seems to be seeing.
Working with Nicole showed us what we'd been missing the whole time. Building databases was the smallest part of what she did for us. She run a detailed discovery phase before building anything, found the repetitive tasks eating our time and automated them, and built everything following the best Notion practices we didn't even know existed, the kind of structural decisions that make a system hold up perfectly, no matter how big it grew. The best investment we've made in our travel agency
Before working with Nicole, our travel agency was running on a mix of spreadsheets, WhatsApp groups, Slack, emails, and whatever system each person on the team happened to prefer that week. Bookings and client followups got missed, drafting proposals was taking forever, and our team spent more time managing all these tools and searching for information than managing trips and communicating with clients. We kept putting off hiring her because the cost felt like a big jump for us at the time.
Eventually, her team built us a full business system in Notion connected through automations, covering everything from client inquiries to itinerary planning to invoicing.
